Baltimore's Bureau of Procurement ran on email, spreadsheets, and recurring meetings. Real-time information was hard to present in agency meetings, and progress on the city's 22-point Procurement Transformation Plan was difficult to evidence to City Council and the Mayor's Office.

XTIVIA, working with the Bureau's leadership, replaced scattered spreadsheets with one workspace: a Solicitations Tracker as the single source of truth for formal and informal procurement, a Renewals and Amendments Tracker that surfaces key dates and spend thresholds automatically, and the 22-point transformation plan tracked by owner, timeline, and progress.

Every procurement officer now works inside monday.com. Live dashboards replaced manually prepared presentations, sister agencies including Fire, Recreation & Parks, DPW, and DGS have adopted or are exploring the platform, and monday.com's own analytics put the saving at over 2,500 hours a year — roughly $83K in value and 2× ROI.

Turned a to-do list into a real delivery model for creative services.

MeridianLink's creative services and marketing operations teams were already fluent in monday.com, but were using it largely as a to-do list. Tedious board builds, six product channels with their own campaign teams, and a delivery calendar spanning virtual events, on-premises events, and trade shows needed outside expertise to structure.

XTIVIA ran its four-stage engagement across a 30-hour Phase 1: full-team discovery and planning, rebuilding existing and new boards around a Strategy → Planning → Creative → Review → Execution workflow with automations and dependencies, calendar integration and notifications, color-coded visual representation of the six business channels, and best-practice documentation. Phase 2 added managed support, board maintenance, improved dashboards, and further integrations.

Every initial milestone was met and expectations exceeded, with a US-based professional services team expanded to hold the deadline. Creative requests move roughly 25% faster, the six channels run on one delivery model, and a custom event tracking process now covers the full calendar.
