SUMMARY:

This guide explains how Salesforce administrators and business leaders can use features like Dynamic Forms to create an organized, secure, and user-friendly CRM, ultimately boosting team productivity and user adoption.

  • Utilize Dynamic Forms to declutter record pages by placing fields anywhere and using visibility rules to show or hide them based on specific conditions.
  • Improve page performance and speed up load times, as fields organized in tabs or accordions only load when a user clicks on them.
  • Follow a simple five-step process within the Lightning App Builder to upgrade existing custom object pages to the Dynamic Forms layout.
  • Implement a mobile workaround by adding the “Record Detail – Mobile” component to ensure users on phones can still view all necessary fields seamlessly.

These strategies help transform a cluttered Salesforce record page into an efficient tool that saves user time, improves workflow, and makes Salesforce a platform the team wants to use.

The High Cost of Messy Salesforce Data

Is your Salesforce data a well-oiled machine—or a chaotic mess? For too many businesses, CRM chaos is the norm: duplicate contacts clog the system, addresses are scattered across fields, and outdated picklists slow every click. The result? Lost productivity, costly mistakes, and frustrated teams who stop trusting the tool that’s supposed to help them.

The truth is, Salesforce has powerful, built-in features to prevent this—most of which are underused. From decluttering record pages with Dynamic Forms to keeping duplicates out with Matching Rules, these tools can turn a cluttered, confusing org into a streamlined, secure, and adoption-friendly platform. And whether you’re an experienced Salesforce Admin or just beginning your CRM journey, you’ll find that putting these features to work can dramatically improve both user experience and team productivity.

In this guide, you’ll learn how to:

  • Stop duplicates before they ever hit your database with Matching Rules and Duplicate Rules.
  • Simplify address management with Custom Address Fields (beta).
  • Declutter your CRM by bulk-deleting inactive picklist values.
  • Keep your org secure with Multi-Factor Authentication (MFA) and Google Authenticator.
  • Drive long-term adoption with proven Salesforce change management strategies.

These strategies will save your team time, protect your data, and make Salesforce a tool everyone actually wants to use.

Why Dynamic Forms Are a Game-Changer

Think of Dynamic Forms as a way to create a more organized, user-friendly experience. Instead of seeing a giant list of every possible field, you can:

  • Put fields anywhere on the page. This lets you group related information logically, rather than being stuck with the traditional “Record Details” section.
  • Show or hide fields with visibility rules. For example, you can set a rule that makes a “Meeting Link” field only appear when the “Course Type” field is set to “Online.” This keeps your page clean and focused.
  • Show Conditional Formatting. Call attention to a field by adding special formatting based on rules that you provide, so that end users can quickly identify the most relevant information.
  • Improve page performance. When fields are organized in tabs or accordions, they only load when a user clicks on them, which significantly speeds up page load times. This means less waiting and more doing.
  • Create a better user experience. By showing users the correct information at the right time, you reduce frustration and help them be more productive.

What to Know Before You Start

While Dynamic Forms are fantastic, there are a few things to keep in mind:

  • They are only available for custom objects right now.
  • You can’t have blank spaces in your layouts.
  • The old-school page layouts still control your related lists.
  • They are not compatible with the Salesforce mobile app. (Don’t worry, there’s a workaround!)

How to Upgrade Your Page with Dynamic Forms

Ready to get started? It’s easy to migrate an existing page to use Dynamic Forms.

  1. Open any custom object record page and click the Setup gear icon, then select Edit Page.
  2. In the Lightning App Builder, click on either the Record Details or Highlights Panel component.
  3. You’ll see a button that says Upgrade Now in the properties panel on the right. Click it.
  4. Follow the prompts to choose your existing page layout and click Finish.
  5. Now you’ll have a brand new “Fields” tab in the components pane. Drag the Field Section component onto your page.
  6. You can give this new section a custom name and add visibility rules to it. Then, drag and drop the fields you want from the “Fields” tab into your new section.
  7. Once everything looks the way you want it, click Save and then Activate your page.

The Mobile Workaround

Since Dynamic Forms don’t work on mobile, you’ll need to add a Record Detail – Mobile component to your pages. This component ensures that users on their phones can still see the detail fields, giving them a seamless experience no matter how they access Salesforce.

With Dynamic Forms, you can transform a cluttered record page into a powerful, dynamic tool that saves your users’ time and improves their workflow. It’s an easy way to make your Salesforce org more efficient and user-friendly.
